Terms & Conditions

Please read these terms carefully before confirming your holiday packages, hotel accommodations, or private cab rentals with The Holiday Trips.

Acceptance of Agreement

This document constitutes a legally binding contract between the traveler/client ("Customer", "Guest", "You") and The Holiday Trips ("Company", "We", "Us"). By depositing an advance token, accepting a quotation, or receiving a formal booking voucher, you unconditionally agree to abide by these Terms and Conditions.

Booking Confirmation & Vouchers

  • All bookings are confirmed strictly upon receipt of the agreed advance token amount and written confirmation via Email or WhatsApp.
  • A formal Service Confirmation Voucher detailing hotel names, room categories, meal plans, private vehicle details, and day-wise itinerary will be issued upon advance clearance.
  • Please verify all traveler names, travel dates, passenger counts, and inclusions on the voucher immediately upon receipt.

Payment Terms & Milestones

To ensure guaranteed hotel room reservations and private vehicle allocation, payments follow these standard schedules:

Milestone Amount Timeline
Initial Token Advance 20% - 30% At the time of booking confirmation
Second Stage Payment 40% - 50% 7-10 days prior to travel date or on voucher delivery
Final Balance Clearance Remaining Balance Upon arrival / check-in day 1 of the tour

* High-peak holiday seasons (Diwali, Christmas, New Year, Pushkar Fair) may require 100% advance as per hotel non-refundable policies.

Cancellation & Refund Policy

If you need to cancel your booking, the following cancellation schedule applies based on the date written notice is received:

30 Days or More Prior to Travel Date
90% Refund (only 10% minimal administrative & banking fee deducted).
15 to 29 Days Prior to Travel Date
50% Refund or option to adjust token for future dates subject to hotel policies.
Less than 15 Days / No-Show
Non-refundable due to strictly committed hotel room holds and fleet lock-ins.

Approved refunds are processed back to the original source bank account within 5 to 7 working days.

Date Changes & Postponements

We offer traveler-friendly postponement options. If you cannot travel on your scheduled dates due to medical emergencies or unforeseen circumstances, we will coordinate with our hotel partners to transfer your advance deposit to future dates with zero or minimal rescheduling charges.

Hotel Check-In & Vehicle Guidelines

  • Hotel Check-in/Check-out: Standard hotel check-in time is 12:00 PM / 2:00 PM and check-out is 10:00 AM / 11:00 AM. Early check-in is subject to room availability upon arrival.
  • Govt ID Proofs: Valid Photo ID proof (Aadhaar Card, Passport, Voter ID, Driving License) is mandatory for all guests at check-in. PAN Card is not accepted as address proof.
  • Private Vehicle Usage: Private AC cabs are designated for all point-to-point transfers and sightseeing outlined in your confirmed itinerary. Off-itinerary extra usage or late-night driving outside city limits is subject to driver allowance and additional kilometer charges.
  • AC in Hilly Terrains: In high altitude/hilly sectors (e.g. Manali, Gulmarg, Leh, Munnar steep ghats), AC is turned off during steep uphill climbs to protect vehicle engine cooling.

Force Majeure & Limitation of Liability

The Holiday Trips shall not be held liable for any loss, delay, injury, damage, or itinerary alterations caused by acts of God, extreme weather events (heavy snowfall, landslides, floods), flight delays/cancellations, train disruptions, political strikes, roadblocks, or government restrictions.

In such unforeseen events, our on-ground travel captains will arrange the best possible alternative accommodations or detour routes, with any additional cost incurred borne by the traveler.

Governing Law & Jurisdiction

Any dispute, claim, or controversy arising out of or in connection with this agreement or services rendered shall be governed exclusively by the laws of India and subject to the exclusive jurisdiction of the competent courts in Jaipur, Rajasthan, India.
